Mailroom invoices: from 26 capture staff to 2 validators
A South African bureau operator (anonymised)
A bureau operator replaced a 26-person invoice capture floor with Leap reading every document, keeping people only where their judgement matters, inside the same 24-hour SLA.

Every morning a bureau operator’s mailroom receives thousands of supplier invoices: post, courier bags and shared inboxes, in every layout a supplier can dream up. For years the answer was people. Twenty-six of them, typing invoice headers and line items into the finance system, all day, against a hard 24-hour service promise to the client.
What changed
Leap took over the reading. Paper is scanned at the existing stations; email attachments are collected straight from the inboxes. Leap classifies each document, finds the supplier, reads the header and the line-item tables, and checks totals against purchase order data. Documents it fully understands go straight through. The rest are queued for a person.
The human in the loop
That queue is the job now. Two validators review the exceptions: a smudged stamp over a total, a handwritten correction, a brand-new supplier layout. They confirm or fix in seconds on screen, and Leap learns from every decision.
The result
The same daily volume, the same 24-hour service promise, met with two validators instead of twenty-six capture clerks. The other twenty-four moved to work that needs judgement rather than keystrokes, and the client sees cleaner data arriving faster than before.
